TENDER NOTICE

Position: Ice Maker and Rink Supervisor (Ice Rink Master)

The Kensington Community League invites qualified individuals to submit tenders for the position of Ice Maker and Rink Supervisor. This role is crucial to ensuring the community enjoys safe and well-maintained ice surfaces throughout the winter season.

Duties and Responsibilities:

1. Ice Making and Maintenance

  • Creation of Ice Surfaces: Use equipment and techniques to produce a robust, uniform layer of ice suitable for both recreational skating and organized events on two distinct surfaces.

  • Regular Monitoring: Check the ice thickness, temperature, and surface quality consistently to maintain a safe and enjoyable environment for skaters.

  • Surface Repair: Address issues such as cracks, bubbles, or unevenness promptly. This includes periodic flooding to ensure a smooth surface and using shaving equipment when necessary.

  • Safety Standards: Implement safety precautions to prevent hazards, ensuring the rink remains secure for the community.

2. Rink Building Supervision

  • Facility Inspection: Regularly inspect the rink building for potential hazards, damages, or needed repairs, ensuring all amenities are in working order.

  • Cleanliness: Maintain a clean environment inside the rink building, including removing trash, tidying up after events, and ensuring restrooms and other facilities are clean and stocked.

  • Safety Protocols: Ensure that all visitors adhere to rink rules and safety guidelines. Be prepared to address incidents or emergencies promptly.

  • Reporting: Report the sale of memberships to the Membership Director. Submit monthly reports of any other monies collected to the Treasurer.

  • Community Relations: Engage with the community, address inquiries, and foster a positive and welcoming atmosphere.

3. Equipment Maintenance

  • Routine Checks: Periodically inspect snow removal equipment for signs of wear and tear to ensure all machinery is in working order.

  • Repairs: Address minor equipment repairs and liaise with vendors or specialists for larger issues to minimize downtime during peak snowfall periods.

  • Operation Training: Stay updated on best practices for equipment use. If necessary, provide training for other community members assisting with snow removal tasks.

  • Inventory Management: Track equipment parts and supplies, and order replacements as needed.

4. Snow Removal

  • Prompt Action: Following any snowfall, ensure that walkways around the Community Hall are cleared promptly to make the area safe for pedestrian traffic. Coordinate with the Hall Rental Coordinator regarding snow removal for hall bookings.

  • Safety Precautions: Use salt, sand, or other ice-melting substances to prevent slippery surfaces, particularly in areas prone to icing.

  • Strategic Snow Piling: Ensure snow is piled in designated areas where it does not block sightlines, paths, or access points.

  • Equipment Utilization: Use snow blowers, shovels, or other tools effectively to expedite snow removal, ensuring thoroughness and safety.

Key Details:

  • While we are looking for competitive rates, the lowest tender will not necessarily be accepted.

  • It is possible for multiple individuals to share the responsibilities of this position.

  • Interested applicants should provide a detailed tender outlining their costs and prior experience.

  • Contract Duration: November 15th, 2024 – March 15th, 2025, with potential for extension.

Application Process:

Tenders should include a detailed cost structure, relevant experience or qualifications, and three references. The successful candidate will need to complete a Criminal Record Check and Vulnerable Sector Check. Preference will be given to applicants with First Aid training.

Rink Building Operating Hours:

  • Weekdays: 5:00 pm – 9:00 pm
  • Saturdays: 1:00 pm – 8:00 pm
  • Sundays: 12:00 pm – 5:00 pm
  • School Winter Break: Saturday hours will apply, with exceptions on Christmas Eve and New Year’s Eve (12:00 pm – 3:00 pm).

Please note that no service is required on statutory holidays. If Kensington Elementary School wishes to use the ice, 48 hours’ notice will be given.

Position: Hall Rental Coordinator and Facilities Caretaker (1-Year Contract)

The Kensington Community League invites qualified individuals to submit tenders for a combined role as Hall Rental Coordinator and Facilities Caretaker. This position is essential for ensuring smooth hall rentals and maintaining the proper upkeep of our community facilities.

Duties and Responsibilities:

  1. Hall Rental Coordination

    • Inquiries Management: Respond to all inquiries about hall rentals promptly and professionally. Liaise with the Community League Executive regarding long-term or recurring rentals.
    • Scheduling and Tours: Coordinate hall booking schedules and offer guided tours of the facility to prospective renters.
    • Rental Agreements: Oversee the completion of rental agreements, ensuring all necessary documents are signed and that security deposits and fees are collected before rental periods.
    • Key and Security Code Provision: Issue keys and a unique security code for each rental agreement. Ensure that all keys are returned following the rental period.
    • Conflict Management: Monitor the booking schedule to avoid overlap or scheduling conflicts, ensuring a smooth process for all renters.
    • Post-Rental Inspections: Conduct post-rental evaluations, return security deposits as appropriate, and address any rental-related issues.
    • Digital Calendar Management: Maintain a digital Google Calendar of all bookings with restrictive view access for Executive Board members.
    • Monthly Accounting: Provide a monthly report to the Treasurer detailing rental activities, deposits, and any other financial information.
    • Signage Management: Ensure all hall-related signage is properly displayed and maintained.
  2. Facilities Caretaking

    • Premises Inspection: Perform regular inspections to identify hazards, damages, or needed repairs, ensuring the hall remains in top condition.
    • Maintenance Oversight: Handle routine cleaning, maintenance, and minor repairs to maintain the hall’s pristine condition.
    • Contractor Liaison: Coordinate with external contractors or service providers for significant repairs or maintenance, and provide updates to the Executive Board as needed.
    • Amenities Maintenance: Ensure all amenities, particularly restrooms, are well-stocked, clean, and fully operational.
    • Waste Management: Manage waste disposal, including regular trash removal and recycling efforts.
    • Inventory Management: Monitor supplies and equipment inventory, making timely procurement decisions as needed.
    • Regulatory Compliance: Ensure all maintenance activities and facility operations comply with local regulations and safety standards. Report any compliance issues to the Executive Board immediately.

  • While competitive rates are desired, the lowest tender may not necessarily be accepted.
